Common Q&A on streamlined Unpaid Item process and post-transaction emails

Aug 4, 2009 3:19 PM
We're compiling many of the common questions and answers about several of the changes introduced in Stephanie’s Announcement on July 27th. They'll be posted in threads like this one and tacked to the top of the board to make it easy to find information (instead of needing to comb through all the various discussions).

These are actual member questions and staff responses, with some slight cleanup to make them easier to read. More topics will be posted in the next few days.

These questions all pertain to our faster process for unpaid items and streamlining post-transaction emails. For more information, make sure to read our FAQs on these topics.

Thanks,

Re: Common Q&A on streamlined Unpaid Item process and post-transaction emails

Aug 4, 2009 3:22 PM
Q: I don't see where this is changing, but I want to make sure. Since the "automatic" Upi's will close in 4 days from the day they were opened is their any plan to change the amount of time a seller would have to wait to close a UPI if they wait the 7 days from EOA and open it manually; assuming that 7 days is not added as an option.

A: During the pilot we will be monitoring both buyer and seller feedback in terms of the timelines and make the necessary adjustments. The seller does have the ability to unhook the automatic process. The time frame will be shortened to the same 4 days as the automated process.

Q: 1. Can you explain this:
In addition, there are fewer forms to fill out, and no more mandatory back and forth between you buyer and seller - sellers determine whether and how much to communicate with buyers directly and communication should take place in My Messages only.
Speaking only of the manual process, does that mean that if a buyer has not paid after 4 days, the seller can file an unpaid item and relist immediately (no waiting for a buyer reply)? Or does the seller have to wait another 4 days? What about if the buyer communicates to the seller, and it would apparently be in My Messages now, that the buyer has no intention of paying?

2. Can you explain this:
Is Feedback blocked for unpaid items that go through the manual process as well?
No, Feedback is only automatically blocked if a transaction is being handled in the automated process. However, all the current reasons for Feedback removal will still apply. (For example, if the buyer doesn't pay and refuses to communicate or participate in the unpaid item process, then negative Feedback can be removed.)
Today, if the buyer does not respond at all to a UPI, feedback is automatically blocked. Will that continue to be blocked? Also, what is eBay's rationale for not blocking feedback for the manual process? Isn't an automatic UPI more likely to be errant than a manual one?

Once a case is opened, the buyer will be able to pay until it is closed (4 days later). If the buyer has stated that they have no intention of paying, there is little risk in relisting the item.

"Today, if the buyer does not respond at all to a UPI, feedback is automatically blocked. Will that continue to be blocked?"

Yes.

"Also, what is eBay's rationale for not blocking feedback for the manual process? Isn't an automatic UPI more likely to be errant than a manual one?"

The requirements which allow sellers to automate the process also allow eBay to validate non-payment. This is not the case in the manual process.

Q: You can choose to set that time as four, 16, 24 or 32 days after the listing closes. Why such a large gap between 4 and 16 days? If you choose four, you'll be perceived as being greedy & pushy? If you choose 16 days...well, that's just way way too
long. What was the reasoning behind such a large gap? Why not make it a more reasonable 4, 7, 10, 14? I can't imagine any seller who is willing to wait over 2 weeks for payment much less 32 days.

A: When we did our community outreach these dates were considered the most optimal. If this turns out not to be the case we can make the appropriate changes.

Q: Regarding the automatic UPI process and automatic eBay sent reminder to buyers - will sellers be able to override this on individual buyers?

A: This process will require you to opt-in. If you do not, you will still be able to use the manual unpaid item process.

Re: Common Q&A on streamlined Unpaid Item process and post-transaction emails

Aug 4, 2009 3:24 PM
Q: Most of my buyers are repeat and multi item buyers, most pay weekly, some every two weeks. It's very much the norm for antiques/collectables. The reminders are going to be a big very big negative, they will discourage the 'I'll just bid on one more of your items this week'...... For international transactions its especially important, buyers like to combine items to save shipping cost. We really really NEED to be able to opt out of this.

A: Sellers will not have the ability to opt-out of the payment reminders, as site-wide consistency is important in setting community expectations. The tone and message of these reminders has been changed to remove any implication that they may be seller-driven. eBay will be reminding buyers that they have an open transaction. All of the unpaid item communications will be updated in an effort to lessen the burden on our sellers.

I noticed there's a lot of questions surrounding the Payment Reminder emails and what the changes really mean to the buyer's experience. If I may, let me take you through the buyer's experience:
--------------------------------

If the seller has opted out of Automatic UPI scenario:
AUCTION ITEM:
1. The buyer wins an Auction, and immediately receives an email notifying them that they have won the item (Buyer Successful email).
2. 48 hours later if the item is not paid for, buyer receives an email reminding them that they have not yet paid for the item (Payment Reminder email).

BIN/SIF ITEM:
1. The buyer buys an item (ie. BIN or SIF), no emails are sent immediately.
2. 48 hours later if the item is not paid for, buyer receives an email reminding them that they have not yet paid for the item.(Payment Reminder email). Please note that this is the first and only time a buyer will receive an email reminding them to pay.

--------------------------------

If the seller has opted in to Automatic UPI scenario:
AUCTION ITEM:
1. The buyer wins an Auction, and immediately receives an email notifying them that they have won the item (Buyer Successful email).
2. 48 hours later if item is not paid for, buyer receives an email reminding them that they have not yet paid for the item (Payment Reminder email).
3. 96 hours later if item is not paid for, buyer receives an email reminding them that they have not yet paid for the item(Payment Reminder email).

BIN/SIF ITEM:
1. The buyer buys an item (ie. BIN or SIF), no emails are sent immediately.
2. 48 hours later if item is not paid for, buyer receives an email reminding them that they have not yet paid for the item (Payment Reminder email).
3. 96 hours later if item is not paid for, buyer receives an email reminding them that they have not yet paid for the item (Payment Reminder email).
--------------------------------

Q: Can a seller OPT OUT of having the automatic payment reminder emails sent at 48 hrs and 96 hours?

A: Sellers can not opt out of the 48-hour payment reminder email.
If a Seller is opted in Automatic UPI, then a 96-hour payment reminder email will be sent.
If a Seller is opted out of Automatic UPI, then there will be no reminder email sent at the 96-hour mark.

The 48 and 96 hours are calculated from when the item is sold/won.

Q: Will we (the seller) receive a copy of the post-transaction emails that ebay is sending out to our customers?

And, what kind of emails will be sent. As far as I can determine there will be:
1) payment received
2) item shipped
3) payment reminder (after 48 hours)

Are there any others?

A: Although we will not be sending an exact copy of the email to the Seller, you will be able to see a sample of these emails and through the Selling Manager tool (now free for all sellers) you will be able to see a log of the emails sent to each of your buyer.

Yes, these are all the emails that will be sent. Just for clarity, here is more information about them:
- Order Confirmation which is triggered when a buyer goes through Checkout
- Order Update which is triggered when a shipping tracking ID is uploaded, item is marked as shipped, or when a shipping label is printed
- Payment Reminder which is triggered 48 hours after item is sold
