Whether you sell full-time or casually, understanding when, how, and why you are charged eBay fees is critical to maintain your budget. Your Seller’s account is designed to manage the process of recording and charging your eBay fees without constant monitoring on your part. It also allows for some flexibility when the unexpected occurs. Please join eBay staff for an overview on: billing cycles, automatic billing vs. one-time payments, and available payment methods. Due to privacy concerns, we will not be able to address specific account questions.

Welcome to Automatic Billing, Invoices, and Fees, Oh My!


My name is Jael, and I’m a long time representative of eBay’s Billing Department. I’m pleased to host today’s workshop. We are joined by Dax, who is a Billing Specialist from our Office of the President.


Today, we’ll be discussing how eBay bills you for your eBay fees, when and if you should make a one-time payment, and a general overview of your monthly invoice.

One of the most common questions we get is, “When will my credit card/PayPal/bank account be charged for my eBay fees?”


It is a great question and understanding this process can be very beneficial to sellers.


Here is a quick overview:


eBay’s Automatic billing is designed to charge the payment method on your seller’s account at a certain time each month, with no effort on your part. You indicate which method you want as your automatic payment method when you set up your seller’s account:


  • Credit card
  • PayPal
  • Direct Pay


Our system will then charge that method at a certain time each month for the amount on your invoice.

eBay sellers are invoiced on either the last day of the month or the 15th of the month. This means at 11:59:59 pm (PT) on the 30th or 31st and 11:59:59 pm (PT) on the 15th. Your invoice will be dated as one of the following:

hello,

i am buying and selling on ebay and have had a store called Asian Beauty Boutique. i want to learn how to send invoices automaticall to buyers or reminders for payment and feedbacks and even promotional email messages periodly... i received a lot of email messages from seller all the time afer winning the item, making payment, seller shipping out the packages, requiring for feedback from a seller about 3 or 4 a day!!

this is a great oppertunity for me to learn more tools for my store.

Hello janetqiu,

That is a great question, however, this workshop is designed to discuss the invoicing of eBay to you, the seller, not the seller to your buyers.

Since you do have a store, you can contact one of our Store representatives and discuss your options. For information on how to contact a Stores Representative, log into My eBay and click on the Manage My Store link about mid way down on the left hand side. That page will give you contact information on how to reach a Stores representative.

With regard to eBay invoicing individual sellers, please see the picture above giving the invoice dates. I'll pick up our discussion from there.

The first 5 days after your invoice date our system is reviewing your seller’s account for all activity for the previous 30 days, including payments and credits, fees, subscriptions, and which of the three payment methods you have on file.

Once the system has identified these specifics, it compiles the information into a readable format, which is your invoice. Your invoice is usually available online by the fifth day after your invoice date, it is also emailed to you at that time and as well as a notice is sent to the My Messages section of your My eBay.

When you receive your invoice it will tell you exactly how much we will charge you for the fees you accrued in the previous 30 days. It will tell you which payment method we will be charging, and when you can expect the charge to happen.

You will see one of the following on your invoice:

Hi,
I'm just learning eBay and have a couple questions on the fees. Are you charged a different amount from eBay (or PayPal) depending on whether your buyer pays with a credit card through PayPal or if they pay with a direct payment from their bank account (through PayPal)?

Now let's talk about one-time payments.

Even if you have an automatic payment method on file, you can still choose to make a one-time payment.

*One-time payments should be made before the date of your monthly invoice to avoid duplicate payments.

The best time to make a one time payment is prior to the 1st if you are invoiced at the end of the month and prior to the 16th if you are invoiced mid-month. One time payments can be made after that date, but then you do risk a possible double payment.

For Example:

If your invoice is the last day of the month, we will charge your credit card 5 – 7 days after receipt of your invoice, normally this is on the 5th. So, 5 to 7 days after the 5th, is the 10th – 12th, which is when you will the charge on your credit card.

However, we begin the process of charging your card on approximately the 6th, so even if you make a one time payment before the 10th, if you make it after the 6th, you will double pay: once by your one time payment and once by the automatic billing process.

Ideally, we recommend avoiding one time payments if at all possible and let the automated system charge your card or bank account or PayPal account each month.
